LeasePlan – “Ride and Drive” Booking Platform

We were approached by our long-time collaborators at RacingLine Events to design and deliver an online booking solution for LeasePlan’s “Ride and Drive” event. The platform needed to be intuitive, fully branded, and built under tight time constraints to streamline the vehicle booking and management process for event delegates.

Within just 14 days of receiving the brief, our in-house design and development team delivered a bespoke, multi-device compatible web platform, carefully crafted in line with LeasePlan’s brand guidelines.

The platform enabled delegates to:

View the full list of available vehicles
Check real-time slot availability
Book a time slot with ease
Input additional details such as passenger/guest names
Receive personalised confirmation emails upon booking

To enhance user experience, the system also included a fallback feature allowing delegates to register interest in fully booked vehicles—ensuring no lead was lost.

Smart Features & Admin Tools
To support both pre-event planning and on-the-day operations, we developed a robust admin dashboard that allowed event staff to:

Add and edit vehicle listings
Manage session timings and capacities
Access real-time booking data and exportable reports
Streamline on-site check-in with integrated delegate verification

Additionally, we built in a scheduled email reminder system, automatically notifying registered delegates 24 hours before the event with a summary of their booking and session details.

The platform significantly reduced administrative overhead, provided a seamless user experience for delegates, and ensured the event ran efficiently from start to finish.

The response from our client was overwhelmingly positive. They praised the speed, ease of use, and flexibility of the solution—and have since expressed plans to roll out similar systems for future “Ride and Drive” events to continue saving time and boosting productivity.
